Global Case Management System (GCMS) is an integrated system currently used by Immigration, Refugees and Citizenship Canada(IRCC) for tracking all Canadian immigration applications, including Express Entry, Citizenship, Family Sponsorship and Temporary visas, such as study, work permits and visitor visa applications, both inside and outside Canada.
The GCMS notes are issued under the Canadian federal law called Access to Information and Privacy (ATIP) or Privacy Act and provide valuable information on the current status and future processing of your immigration application.
The GCMS notes are the only accurate way of providing a detailed record of an applicant’s file, correspondence from and to IRCC, documents received from the applicant, detailed notes from the officers reviewing the file at each stage, providing valuable information on the current status and processing requirements of your application for Canadian immigration.
Only Canadian citizens, Permanent Residence, otherwise you will have to order your GCMS notes through a Canadian representative such as On-Track Immigration and Appeals; we will apply online in three easy steps.
As long as you have applied to the IRCC for Canadian immigration, received a decision, have received your Acknowledgement of Receipt (AOR), or as soon as have passed the completeness check for a Permanent Residence online application, you have the right to request your GCMS notes.
On average, you can expect the time frame to be approximately 30 to 40 calendar days as legislated under the Access to Information Act; however, in some cases, the IRCC can extend the time limit, and this can add 30 days if there is a request for a large number of records, and or, the officers have been over-loaded with several pending requests.
The upside is we will be notified within the first 30-day period if your order is going to be delayed, and we will inform you as soon as our office gets a notification.
To apply, you will have to provide your application number. Your application number is created as soon as you apply with the IRCC. If you have filed more than one application. Your application number will start with one letter representing the application type (You will have multiple application numbers if W012345678 - Work Permit).
Your UCI (Unique Client Identifier) number is also requested e.g. it is not mandatory. Your UCI number. However, however, will assist in processing your request.

Under the Access to Information Act and the Privacy Act, you are entitled to request documents related to your Canadian Immigration or Citizenship file.
There are differences between GCMS Notes from the IRCC and Canadian Border Services Agency (CBSA). Although they look very similar the differences are as follows:
1. GCMS Notes from CBSA will usually have up-to-date security information listed.
2. GCMS Notes from CBSA will contain your comprehensive travel history report of entries and exits to/from Canada.
If you believe having access to this information in addition to the regular IRCC GCMS Notes products, we suggest you also submit an ATIP request for GCMS Notes from the CBSA.
CSIS Notes refer specifically to information related to your Immigration or Canadian Citizenship application received by the Canadian Security Intelligence Service (CSIS).
CSIS Notes discloses information such as when your file was received, when processing was completed, and details about the background check and security screening regarding your immigration file. When processing times for your immigration application are delayed, it can be helpful to submit an ATIP request for CSIS Notes to discover any concerns regarding the background check and security screening CSIS conducted on your file.
Yes. Under the Canadian federal law called the Access to Information Act or Privacy Act, every GCMS order must be processed unbiasedly, with no adverse effect or restrictions on every applicant's circumstance. If you need to order your notes more than one time, at different intervals, it is your right to request GCMS Notes as many times as required.
We believe the more informed you are, the more you can prepare for interviews, gather more necessary documents if needed, take proactive steps to re-apply correctly, appeal the file if necessary, and give you peace of mind your application is on track in the processing cue.
